You can fill either the IP address or host name. The maximum characters for alternate LDAP host names are 255. The default value for an alternate LDAP server IP is NULL. 7.6 SETTING UP THE E-MAIL 8 The following topics are included: • 8 The following topics are included: • About the E-mail • Sending the E-mail SENDING AN E-MAIL About the E-mail The E-mail fax function on your machine allows you to send your documents as an e-mail message without going to a PC. The document is sent to the recipient’s e-mail box as an attachment. To use this feature, you must configure the network settings and e-mail settings. For details, see User’s Guide supplied with this manual and “Setting Up Your E-mail System” on page 7.2. NOTE: To use the E-mail function, you need to install an optional network interface card into your machine. For details about the card, see the User’s Guide. Sending the E-mail You can send an e-mail from your machine. The document you want to send as an e-mail is scanned and then attached to the e-mail as an image file. You can enter e-mail addresses by using the alphabet and number keypad on the front of your machine or by retrieving them from the local or global address book using Address Book. 1 Load the document you want to send in either the DADF or on the document scan glass. 2 Press E-mail. The e-mail idle screen displays “From” or “My Login Name” on the top line according to the authentication setting your system administrator made through the authorized user setup. For details, see “Setting Authorized Users” on page 7.3. 3 Select the following settings from Resolution, Original Type or Duplex: Resolution - Choose the scan resolution. The higher, the clearer from 100 dpi to 400 dpi. 8.2 SENDING AN E-MAIL Original Type - Choose the original document type from Text/Photo, Photo, Text, and Color. Duplex - Choose Yes if the original document is 2-sided. 4 On the e-mail idle screen, enter the sender’s e-mail ID using the alphabet keypad, and then press Enter. By default the “From” will be the one set in the “Default From” option. For details, see page 7.5. You can use Stop/ Clear, Delete or Backspace to clear the entire contents of the default from. If the authentication menu is set to Enable, enter your login name and password. For details, see “Setting Authorized Users” on page 7.3 5 Enter the recipient’s e-mail address and then press Enter. You can directly enter an e-mail address using the alphabet keypad. You can include numbers in the e-mail address by using the number keypad. You can also retrieve an e-mail address from the local or global addressbook by pressing Address Book. Select “Local” or “Global” according to the addressbook type. The local addressbook contains e-mail addresses stored in your machine. The global addressbook shows the addresses retrieved from the configured LDAP server. For details about the addressbook, see page 9.2 and page 9.7. When a set of characters or numbers is entered, the user can press Address Book and select “Local” or “Global”. The closest matching entries are shown. 6 When the display shows “Another Address?”, select “Add” or “Done” using the scroll buttons and then press Enter. Selecting “Add” allows you to enter another address. Repeat step 5. The maximum number of addresses you can enter is 9 or 10 depending upon “Auto Send To Self” e-mail option. If “Auto Send To Self” is “On” then only 9 e-mail addresses can be entered. After entering the addresses, select “Done”. 7 The display may show “Auto Send To Self” according to the e-mail option settings. For details, see page 7.5. 8 SENDING AN E-MAIL 8.3 Select “Yes” or “No” and then press Enter. Selecting “Yes” will add your e-mail address or other addresses according to the “Default From” e-mail option, to the recipients address list. For details, see page 7.5. 8 When the display shows “Review Addresses?”, select “Yes” or “No” and then press Enter. Selecting “Yes” allows you to review the addresses entered. You can scroll through the list using the scroll buttons. If you want to delete one from the list, scroll to the address and press Delete. The selected address is deleted. To finish reviewing the addresses, press Enter on any of the address in the list. 9 Enter the subject using the alphabet keypad and press Enter. To include numbers in the text, use the number keypad. By default the subject will be the one set in the “Default Subject” e-mail option set-up. For details, see page 7.5. You can use Stop/Clear, Delete or Backspace to clear the entire contents of the default subject. 10 Select a file type and then press Enter. You can select from PDF and TIFF. If you set Original Type to “Color”, the file type is automatically set to “JPEG” and the file type selection screen does not appear. 11 Press Start. The original document is scanned and then sent one page at a time. 12 The display may show “Logging Off...” according to the e-mail option settings. For details, see page 7.4.
